We offer knowledge, consultancy, education and networking solutions for the renewable energy industry in both established and emerging markets across the globe. Your role and mission

• You plan and coordinate our events, including the venues selection, catering, invoicing follow-up, attendees management and everything that comes with planning our events;

• You are excited by the idea of being responsible for negotiating the best deals and finding the right conference venues and suppliers across the globe

• You always like to do better, you help the team by improving the quality of our events by pro-actively seeking these improvements;

• As an Event Coordinator you will be a key member of the Project team together with a Project Manager, Business Development Manager and a Marketeer;

• You love being the stable factor during hectic times: project managers need to be able to count on your support for all the practical, organizational and administrative tasks that are key to the success of every event. You are flexible and can deal with last-minute changes.

Here’s what your day will look like as our Event Coordinator

You start the day with the team, check-in over coffee and monitor the latest attendees that register for the event. Some of them relate to our key accounts and need specific follow-up coordinated with the sales team, some others are new clients and may ask for some support with our event app, some are not sure about the venue location in Madrid, San Diego or Tokyo. After following up with these immediate actions, you analyse if these questions, sometime feedbacks, are a one-off comment or part of an underlying trend where we can improve our events or customer experience. You then follow up with your recommendation with Business Development (Sponsors) or Event Team Lead to who you report. Lunchtime is at La Cantina while going over your colleagues’ weekend plans and offering a drink to all your colleagues*. In the afternoon you have a couple of calls with some venues in the US to secure a high-quality experience for our next event 6 months from now. You realize we could improve the experience by defining how the stage should look and feel and aligning with Lorena, the project manager for this event, to see if it fits the conference's targeted audience and program. Because you like improving customer experience and to further grow in that area you plan to discuss this opportunity of development with your team lead in your next 1o1! After responding to some last emails, you call it a day and cycle home.

What we expect from you

• You have 2 - 5 years of experience related to event organisation or Hospitality;

• You enjoy working in an international context, communicating primarily in English (+ other languages) and working - both internally and externally - with people from different (business) cultures;

• Exposure to international projects or environments is a plus;

• You are willing to travel abroad, this would take up about 20% of your time;

• You are willing to execute administrative tasks, like logging your work into our CRM system (Salesforce), preparing the event App, handling attendee queries;

• You get things done!
